Role Description:
The Digital Labs Operations Manager is the operational heartbeat of our Digital Labs. This role is critical for ensuring our innovation engine runs smoothly, efficiently, and effectively. You will be the central point for all operational, financial, and administrative processes, enabling our technical teams to focus on creating groundbreaking digital products. This is a high-impact role that blends strategic planning with hands-on execution across budget management, project governance, asset management and control, and team operations.
Key Responsibilities:
1. Scorecard management and digital PMO:
- Work closely with digital leadership and business stakeholders to design, develop, distribute, align and report on the digital KPIs
- Act as the central point of coordination for the digital labs project portfolio, maintaining a centralized view of all projects, their status, risks and dependencies, own communications with company / BU operations teams
- Facilitate project intake, prioritization and talent allocation/staffing discussions
- Organize and facilitate key governance meetings, including steering committees, project reviews
2. Budget planning and financial management:
- Lead the annual and quarterly budget planning process, working closely with digital leadership, business stakeholders and finance partners for alignment
- Track and manage digital labs budget, including forecast, software copyright, capitalization, variance analysis, summary and reporting
- Process invoices, purchase orders (POs), delivery confirmation for critical digital labs project and procurement in a timely manner
- Manage core 3rd-party technologoy partners and vendors, working closely with procurement and business stakeholders
- Monitor and control operational expenditures, identifying opportunities for cost optimization
3. Asset management
- Manage the lifecycle of digital labs assets, including software licenses and digital tools, maintain an accurate and up-to-date asset inventory
- Oversee and facilitate the procurement, deployment, maintenance and decommissioning of assets (e.g., software licenses and account allocation, usage volume tracking) across digital labs product teams
- Implement and enforce security policies related to company assets
4. Operational execution
- Continuously develop, implement and refine operational processes and workflows to enhance the productivity of the digital labs
- Collect data from various sources (Jira, systems, surveys) to track performance against strategic goals (e.g., project delivery, budget adherence, team velocity), and identify risks and areas of improvement
- Serve as the primary point of contact for digital labs logistics, including facility management (e.g., seating arrangements), access controls, IT/Onsite support coordination
- Organize and manage lab events, workshops, hackathons, and team meetings, and provide general administrative support to the labs team as needed, including onboarding new hires
Key Qualifications:
- Bachelor's degree or higher in Business Administration, Finance, Technology Management or a related fields
- At least 5+ years of work experience in an operations, program management, or chief of staff role, preferably within a technology, digital or R&D environment
- Proven experiences in budget management, forecasting and financial reporting, PMO methodologies (e.g. agile, scrum, waterfall)
- Strong proficiency with office productivity suites and project management tools (e.g., Jira, Confluence)
- Proficiency in data analysis and visualization, skilled in dashboards and reports
- Familiarity with asset management and procurement process
- Excellent organizational, multitasking, and problem-solving skills
- Strong written and verbal communication skills, with the ability to communicate effectively with both technical and non-technical stakeholders
- Self-starter with a proactive mindset and the ability to operate effectively in a dynamic, fast-paced environment
- Proficiency in both Mandarin and English
