Key Responsibilities

  • Provide comprehensive administrative support to multiple senior managers within the account management team, including complex calendar management, meeting scheduling, travel booking, and expense report processing.
  • Efficiently prepare, organize, and distribute various professional documents (e.g., client reports, presentations, proposals, and contracts), ensuring format compliance and content accuracy.
  • Coordinate and organize team meetings, including booking conference rooms, preparing agendas, taking and distributing meeting minutes, and tracking action items.
  • Maintain and update client files, contract documents, and project materials, ensuring the accuracy and confidentiality of all information.
  • Serve as a key communication bridge between the team and internal/external clients (including international colleagues), using
    English
    as the primary language for written and verbal communication.
  • Handle phone calls, receive visitors professionally, and efficiently address various inquiries.
  • Assist the team in preparing client meeting materials and participate in follow-up activities; support the handling of client-related invoicing and payment tracking.
  • Support the planning and organization of client events, seminars, or internal team activities.
  • Complete other related tasks assigned by supervisors.

Qualifications

  • Bachelor's degree or above,
    no specific major required
    .
  • Minimum of
    2 years
    of relevant administrative support or team assistant experience (
    fresh graduates do not meet the requirements
    ).
  • Proficiency in English
    , with excellent
    written and verbal communication skills
    , able to use it as a working language for professional exchanges.
  • Proficient in
    Microsoft Office software (
    Word, Excel, PowerPoint, Outlook
    ).
  • Exceptional organizational and multitasking abilities, attention to detail, and able to maintain accuracy under pressure.
  • Strong communication and interpersonal skills, with a high sense of customer service and teamwork.
  • Ability to handle sensitive and confidential information with a high degree of discretion and professionalism.
  • (Preferred) Experience in real estate, consulting, finance, or related professional services industries; experience supporting sales or account management teams.
