Four Main Responsibilities
50% - Provide administrative services to employees in office.

20% - Liaison with partners and suppliers to fulfill office supplies and services.

15% - Implement and maintain commercial office EHS environment.

15% - Provide supports to company global citizenship activities.

Major Responsibilities/Activities

  • Receive, direct and relay income calls in proper manner.
  • Welcome and guide visitors per SOP at reception area.
  • Ensure office security by monitoring office entrances.
  • Send/receive and dispatch inbound and outbound mails / packages / parcels / couriers; make sure to keep accurate record and follow-up per needed.
  • Monthly check and arrange admin related payment like postal, telephone, plant etc, allocate to relevant BU accurately.
  • Purchase the stationery and commodity for office daily usage.
  • Assist in booking and preparation of meeting rooms, conference calls, etc.
  • Monitor and coordinate office equipment maintenance and repairness, i.e. fax machine, MFD, projector, etc. copy machine/fax machine.
  • Keep office employees contact information updated in share folder in timely manner.
  • Communie with landlord and local building management office for all security and maintenance needs.
  • Support office layout, remodeling, expansion, construction, etc.
  • Monitor and continuously improve admin relative vendors' services and performance in local office.
  • Build up and maintain a high level of office environment according to global EHS requirements.
  • Create and fulfill Green Office innitiatives and projects per needed.
  • Support company global citizenship projects and programs from Admin perspective.
  • Other tasks assigned from supervisor.

Requirements

  • Industry experiences: N/A
  • Position experiences: 1-2 years of progressively responsible experience in office management, administration, or other support services function. Experience in MNC is preferred
  • Language Skills:Good English communication skills in both oral and written.
  • Computer Skills: Micorsoft Office / Word / Excel / PPT / Outlook, ect.
  • Mobility: Located in respective branch office
  • Certificate Required: College degree or above
