The Worldwide Amazon Stores organization is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization. We are looking for someone to support two Directors on our Asia Global Selling team in Shanghai.
Amazon Global Selling has been helping individuals and businesses increase sales and reach new customers around the globe. Our team drives business development in China and Asia, along with collaborating with many of Amazon's global teams.
This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.
Key job responsibilities
- Arrange travel itinerary and hotel bookings as required
- Manage and process all mail and email correspondence as required Assist on
- Interact with Amazon counterparts on a global basis to arrange meetings, conference calls, diary schedules etc.
- Assist with the follow up actions from meeting outcomes
- Be responsible for the overall direction and coordination of the team's administration
- Work closely with support staff to build and secure support and resources for projects and initiatives
- Drive key team activities (such as event planning, town-hall, supply ordering)
- Carry out responsibilities in accordance with Amazon's policies and procedures
Basic Qualifications
- 2+ years of senior level leadership support
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
Preferred Qualifications
- Experience leading process improvements
- Experience in a fast-paced, high-tech company
- Experience designing processes to maximize efficiency
Key job responsibilities
- Set up business operation process across teams to smooth the whole process and tasks
- Closely work with business teams, PMs to drive implementation of operational tasks and collectively feedback for continuous task and process improvement and optimization.
- Build mechanism and community to reflect multiple team's operation, scale the critical ones in more teams.
- Work relentlessly to improve existing process.
- Regularly update progress and call out hits and misses to the leadership.
Basic Qualifications
- 3+ years of senior level leadership support, or 1+ years of Amazon experience
- High school or equivalent diploma
- Experience with Microsoft Office products and applications
- Experience with executive level calendar management
Preferred Qualifications
- Experience in a fast-paced, high-tech company
- Experience managing multiple calendars
