A Day in Your Life at MKS:
As a Senior Administration Specialist at Admin department, you will partner with internal team members to support the relevant departments, such as the Operation, HSEQ. In this role, you will report to the Admin manager.
You Will Make an Impact By:
- Responsible for monthly administrative expense reconciliation and payment requisition, covering corporate express delivery, business travel platforms, staff canteen and so on, to ensure accurate expense settlement and process compliance.
- Managing the staff canteen, including: daily confirmation of meal quantities and menus; efficient response to employees' feedback to the canteen; organizing irregular on-site audits of the catering center with the Catering Committee; and controlling the number of missed meals to optimize costs.
- Manage the business travel platforms , including: ensuring stable operation of the business travel system; providing user support for the business travel platforms.
- Handle the visas and invitation letters: responsible for the application, extension and cancellation of visas and work permits for the foreign colleagues; assist employees in applying for overseas business visas; issue company invitation letters based on the actual visa needs of foreign colleagues coming to China for business trips.
- Provides administrative and clerical support to relieve department managers or staff of administrative details.
- May be assigned to various functional areas of the admin department.
- Support the reception daily operations.
- Assist in organizing various corporate activities.
- Performs general administrative duties, such as administrative support of department manager.
- Travel Requirements: Up to 5 % of Travel is required.
Skills You Bring:
- Requires advanced administrative experience, reading, writing and intermediate arithmetic skills and the ability to use specialized equipment, use of software applications, read difficult instructions and maintain written records
- Completion of high school, vocational training or equivalent is preferred
- Typically requires a minimum of 4+ years of related experience
Preferred Skills:
- Good proficiency in using Excel.
- Good PPT-making and presentation skills.
