The Purpose Of The Job:
his role will be responsible for MD's administrative support, Project Management, and office administration management Details as follows:
- A high-level administrative support to MD and serves as a key point of contact for internal and external stakeholders, ensuring smooth communication and coordination ofMD's schedule and responsibilities.
- Provide project management support and assist in the successful delivery.
Administration team leader, including but not limited to regional license handling, supporting QA to manage medical devices license at store level and other office administration.

Calendar and Meeting Management:
- Organize and coordinate meetings, including travel, logistics, materials, and technology setup
- Prepare agendas, take minutes, and follow up on action items from meetings.
- Help coordinate events, conferences and workshops for cross-functional teams, including arranging agendas, venues, invitations and logistics.
License and Document Management:
- Responsible for the application, modification, annual review, and cancellation of all types of licenses and qualifications for AC legal entities.
- Maintain and organize confidential files, records, and documents.
- Prepare and edit presentations, reports, and other business documents.
- Organize or perform Chinese/English translations related to MD activities.
Communication:
- Act as a focal point for communication and coordination with internal and external stakeholders. Ensure accurate and efficient communication to the right people and follow up on issues as directed by the MD.
- Draft, review, and send communications on behalf of the executive, including emails, memos, and reports.
Office Management:
- Handle the leasing and renovation of the management center's office premises.
- Serve as the liaison with the property-management company, pay property fees, and arrange routine maintenance and repairs.
- In charge of procurement of office and cleaning supplies for regional offices and stores.
Project Management:
- Planning and execution of projects and initiatives.
- Project management, tracking progress, coordinating resources and facilitating communication between teams.
More about you:
- Bachelor degree above, Business Administration, Management, or a related field.
- 6-8 years of relevant experience supporting Sr. Leaders or Executives in MNC's and office administration experience in retail industry.
- Exceptional organizational and time management skills, with the ability to manage multiple tasks and prioritize workload effectively.
- Ability to work independently and under pressure in a fast-paced environment.
- Attention to detail and accuracy in all work products, including documents, spreadsheets, and presentations.
- Communicate and coordinate effectively with executives, colleagues, and external partners.
- Excellent oral and written English
